DEFINE Coaching: Performance & Rehabilitation TERMS & CONDITIONS

1. Introduction

Welcome to DEFINE Coaching: Performance & Rehabilitation (“we”, “our”, “us”). DEFINE Coaching is the trading name of SPC PHYSIO CARE. 

By purchasing a membership, subscription, service, or digital product, you agree to these Terms & Conditions. Please read them carefully. Your continued use of our services constitutes acceptance of the most recent version.

 

2. Membership Types & Billing

2.1 Auto-Renewal

All memberships renew automatically at the end of each billing cycle unless cancelled through your online account before the renewal date.

2.2 Billing Cycles
  • Monthly Memberships: Renew every 30 days

  • 3-Month Memberships: Billed as one 3-month block

  • 6-Month Memberships: Billed as one 6-month block
     

2.3 Early Cancellation of Multi-Month Memberships

Early cancellation is allowed only if the next month has not started.

If cancellation occurs:

6-Month → 3-Month recalculation:

Past months recalculated at the 3-month membership price. Refund issued for the difference.

3-Month → 1-Month recalculation:

Past months recalculated at the monthly rate. Refund issued for the difference.

2.4 No Cooling-Off Period

Memberships do not include a 7-day cooling-off period. Instead, customers may use the freeze option once per membership (Section 3).

 

3. Membership Freeze Policy

3.1 Eligibility

One freeze is permitted per purchased membership cycle.

3.2 Duration
  • Minimum: 7 days

  • Maximum:

    • 30 days for Monthly and 3-Month memberships

    • 60 days for 6-Month memberships

Freezes cannot be back-dated.

 

4. Subscription Services (Recurring Online Purchases)

4.1 Auto-Renewal

All recurring online subscriptions will auto-renew until cancelled via your online profile.

4.2 Refunds After Renewal

Refunds are considered on a case-by-case basis, provided the service has not been used after renewal.

No refunds are issued if the product or facility has been accessed.

 

5. Payment Failures

If a payment fails, access to the gym, classes, and digital services is immediately suspended on the renewal date. Access resumes automatically once payment is completed.

 

6. Age Requirements & Facility Access

  • Minimum age for independent training: 16 years old

  • Under 16s may enter only with a paying adult, who assumes full responsibility for their safety, conduct, and supervision.

 

7. Health & Safety

7.1 Health Declaration

Users confirm they are medically fit for physical activity and must disclose relevant injuries or limitations.

7.2 Medical Disclaimer

Our physiotherapists:

  • Work within their licensed scope of practice

  • Do not diagnose medical conditions outside their field

  • Are not a replacement for medical doctors

All training is undertaken at your own risk.

 

8. Facility Code of Conduct

All members agree to:

  • Respect people, equipment, and facility property

  • Return equipment to its proper place

  • Wipe down equipment after use

  • Follow staff and coach instructions

  • Avoid harassment or unsafe behaviour

  • Wear appropriate training clothing and footwear

  • Supervise children at all times (where applicable)

  • Avoid unauthorised personal training inside the facility

Violation may result in suspension or termination without refund.

 

9. Booking, Late Cancellation & No-Shows

(If applicable)

  • Classes must be cancelled within the specified window.

  • Late cancellations or no-shows may incur fees.

  • Repeated abuse may result in temporary suspension.

 

10. Digital Products

Digital products are:

  • Non-refundable

  • Downloadable for personal use only

  • Provided with lifetime access, unless otherwise stated

Sharing, distributing, or reselling digital content is prohibited.

 

11. Behaviour Violations

We reserve the right to:

  • Suspend

  • Restrict

  • Terminate access

…for unsafe behaviour, misconduct, non-payment, harassment, or violation of policies.

 

12. Updates to These Terms

We may update this policy when needed. Continued use of our services indicates acceptance of any changes.
